Projects
A project keeps everything for one job in one place: the client, quotes and invoices, emails, notes, files, appointments and a whiteboard. Use one for each job, such as "Smith kitchen renovation", or for ongoing work, such as "Website refresh".
Start a project
- Open Projects in the sidebar and press +.
- Give it a Name, and optionally a Description, Start date and End date.
- Leave Status as Active while the work is going.
- Press Create Project.
To start one for a client straight away, open the client's contact page, click their name at the top and choose Project > New project. It's linked to them from the start.
The project page
Click a project to open its page. It has sections for Details, Emails, Contacts, Notes, Events, Invoices, Files, Calendar, Whiteboard and History.
Emails fills itself: once a contact is attached to the project, emails from them show there automatically, with nothing to file.
Click the project's name at the top for a menu. Most kinds of item have New ... to create one already linked to the project, and Attach ... to link one that exists:
- Contact: the client and anyone else involved.
- Staff member: adds a team member who's working on it.
- Invoices: quotes, invoices and purchases for the job. New invoice starts a sale for it. Invoices covers quoting and getting paid.
- Note, Files, Event and Whiteboard: plans, photos, documents, site visits and sketches.
- Agent: a centralAgent chat that belongs to the project, for questions or tasks about this job.
Compose email in the same menu starts an email to the project's contacts, copying in its staff, with the project's name as the subject.
Run a job from start to finish
- Start the project and attach the client.
- Add a quote with Invoices > New invoice and send it.
- Book the work with Event > New event, and keep site notes and photos under Notes and Files.
- When the work's done, turn the quote into an invoice and get paid.
- In Details, set Status to Completed and press Update Project.
The Projects list shows every project's status and dates, and Any status at the top filters it.
Things to know
- A project's status can be Active, Inactive, Completed or Cancelled.
- Move project to bin at the bottom of the project's menu removes it. Things linked to it, such as contacts and sales, aren't deleted.
- centralAgent can do most of this for you, such as "start a project for the Smith renovation and attach Jane Smith", or "what's left to do on the Smith job?".
