Compliance
Compliance keeps the business's licences, insurance policies, permits, certifications and inductions in one place, with their expiry dates, so nothing lapses without anyone noticing. It can hold the business's own records and those of subcontractors or suppliers you rely on.
Add a record
- Open Compliance and press + (New record).
- Fill in:
- Name, such as "Public liability insurance" or "Builder's licence".
- Category: Licence, Insurance, Permit, Certification, Induction or Other.
- Reference Number: the policy or licence number.
- Issuer: the insurer or the authority that issued it.
- Issued and Expires dates.
- Description: what it covers, or any conditions.
- Press + Add shortcut > Files to attach the certificate or policy document. Pick one already in Files, or drag it in from the computer to upload it.
- Press Create Record.
Link it to a person or a bill
+ Add shortcut also has:
- Contact: for a subcontractor's or supplier's record, such as their insurance. It then shows on their contact page.
- Invoices: the purchase that paid for it, such as the insurance premium.
See what's expiring
The Status column shows each record as Valid, Expires in ... when it's 30 days or less away, or Expired. Click Expires at the top of the column to sort by expiry date.
Wherever a record shows as a shortcut, such as on a contact's page, it's marked when it's expiring or expired.
Renew a record
When it's renewed, open the record, update the Reference Number and dates, attach the new certificate, and press Update Record.
Groups
To keep a long list tidy, press ... at the top of Compliance and choose New group, such as "Subcontractors" or "Vehicles".
Things to know
- centralOS doesn't send a reminder before something expires, so add a calendar event a few weeks before the expiry date to leave time to renew.
- Move to bin sends a record to the Bin in the user menu, where it can be restored.
