Contacts
Contacts holds every customer, supplier and person the business deals with. Everything else in centralOS links back to them: sales, emails, projects, notes, files and calendar events.
Bring in contacts from Google or Outlook
- Go to Settings > Connections.
- Under Contacts, press Google Contacts or Microsoft Contacts (for Outlook and Microsoft 365).
- Sign in to that account and allow access.
Your contacts then appear in Contacts and stay in sync. A contact added or changed in centralOS is also saved to that Google or Microsoft account.
To stop syncing, remove the account under Identity providers in the same section. Contacts that came from it stay in centralOS.
A contact's page
Click a contact to open their page. It gathers everything about them in sections: Details, Email, Projects, Invoices, Notes, Files, Events & Reminders and History, which shows what's happened with them and who did it.
Click the contact's name at the top for a menu:
- Send email... starts an email to them.
- Event, Invoices, Files, Note and Project each have New ..., which creates one already linked to them, such as New invoice for a quote, and Attach ..., which links one that already exists.
Merge duplicate contacts
Ask centralAgent to "find duplicate contacts" or "tidy up my contacts". It lists the likely duplicates and asks before merging each group: press Merge to combine them. Everything linked to the duplicates, such as emails, sales and projects, moves to the contact that's kept, and the duplicates go to the bin.
A contact synced from Google or Microsoft is only merged with contacts from the same account or ones made in centralOS.
On the phone
Open a contact in the centralOS app:
- Share Contact sends them as a contact card, by message or email.
- Add to Contacts saves them to the phone's own contacts.
Things to know
- Syncing with Google or Outlook is on plans that include it.
- Each person connects their own Google or Microsoft account, so each person's synced contacts come from their account.
- A contact moved to the bin can be restored from Bin until it's deleted for good. Deleting a synced contact for good deletes it from Google or Microsoft too.
