Calendar and tasks
Calendar shows appointments and events by week or month. Tasks is the to-do list. They're the same thing underneath: an event has a start and end and shows on the calendar, and a task has a due date and shows in Tasks. One item can be both.
Book a meeting with a client
- Open Calendar. In Week view, click the time it starts, or drag down over the hours it takes. Or press +.
- Type a Title, such as "Site visit, Jane Smith".
- Check Starts and Ends. Untick All day to set times.
- Press + Add shortcut and choose Contact to link the client. Add a Project or Staff member the same way. Once the event is saved, Web link adds a link to it, such as the address on Google Maps or an online meeting.
- Press Create Event.
The meeting then shows on the client's contact page under Events & Reminders. Linking a contact doesn't send them an invitation, so let them know by email or phone.
To start an event already linked to a client, open their contact page, click their name at the top and choose Event > New event.
Repeating events
Set Repeats to Daily, Weekly, Fortnightly, Monthly or Yearly.
Add a task
- Open Tasks and press +.
- Type a Title, and set a Due date.
- Optional: a Priority (low to urgent), a Status, and a Label.
- Press Create Task.
When it's done, set Status to Completed. The filters at the top of Tasks show tasks by label, status or priority.
Sync Google Calendar or Outlook
- Go to Settings > Connections.
- Under Calendar, press Google Calendar or Microsoft Calendar (for Outlook and Microsoft 365), sign in and allow access.
Your calendar's events appear in centralOS, and events you add or change in centralOS go to it too. If you haven't picked a calendar for new events yet, the first one you connect becomes it. Private events stay private to you.
To stop syncing, remove the account under Identity providers in the same section. Events that came from it are removed from centralOS.
Calendar settings
In Settings > Calendar:
- New events go to picks the calendar your new events go to, including ones centralOS adds for you. It's just for you.
- Your calendars adds extra calendars, such as "Deliveries". Deleting one moves its events to the business's calendar.
- Labels sorts events and tasks, such as "Quote follow-up", each with a colour.
- Working hours are your usual hours. Working hours at the top of the Calendar then hides the hours outside them.
Things to know
- Each person connects their own Google or Microsoft calendar. Teammates can see its events in centralOS, but only its owner can change or delete them.
- Syncing with Google or Outlook is on plans that include it.
- A booking form on the website offers times inside the business's Open hours that don't clash with the calendar. Website has the steps.
- centralAgent can book, move and find events, such as "book a site visit with Jane Smith on Friday at 10".
