Files
Files in the sidebar holds the business's documents and photos, such as contracts, plans, site photos and receipts. Files can sit in folders, and each one can be linked to contacts, projects and sales so it also shows on their pages.
Upload files
The quickest way is to drag files from the computer onto the Files page. They upload to whichever folder is open.
Or:
- Open Files and press + (New file).
- Press Add files and choose them, or drag them in.
- Optional: pick a Folder, and press + Add shortcut to link a contact, staff member, project, sale or compliance record.
- Press Upload files.
Drop files anywhere
Dragging a file onto centralOS never opens it in the browser. Where it's dropped decides what happens. The page shows what will happen before the file is let go.
- Most places upload it to Files, or into the folder open on the Files page. A message then offers to link it to the contact, project, sale or purchase being worked on. Open file opens it, and + Add shortcut there links it to anything else.
- On a contact's or project's page, or an open contact, project or compliance record, it's uploaded and linked to it.
- On an open sale or purchase, it's attached.
- On Invoices, it becomes a new purchase. Invoices has the steps.
- On a bank transaction, it's read as a receipt. Money covers it.
- On an email or a note, it goes into it.
- On a centralAgent chat, it's attached to the next message so the agent can read it.
Folders
- To make a folder, press ... at the top of Files and choose New folder.
- Click a folder to open it, and Home at the top to go back.
- To move files, drag them onto a folder, or change Folder on the file. Select several first to move them together.
- To rename a file or folder, right-click it and choose Rename.
Sort and the type filter (All types, Documents, Images and so on) are at the top, beside the switch between grid and list.
Open a file
Click a file to open it. It shows a preview, and:
- Folder moves it.
- + Add shortcut links it to a Contact, Staff member, Project, sale or purchase (Invoices), or Compliance record, so it shows on that record's page too.
- Download saves it to the computer.
- Email starts a new email with the file attached.
- Share copies a link.
Right-click a file in the list for Preview, Rename, Download, Share, Make public and Move to bin.
On a contact's or project's page, the Files section's + has New file, to upload one already linked, and Attach file..., to link one already in Files.
Things to know
- Attachments on received emails have a Save to files button.
- Quotes and invoices saved with Save to Files are kept here too.
- Files use the plan's storage. Settings > Plan & Usage shows how much is used. Uploads stop when it's full.
- Move to bin sends a file to the Bin in the user menu, where it can be restored. A public file is made private first, and stays private if it's restored. A file attached to a sale or purchase can't be binned until it's unlinked from it.
- centralAgent can find files, read what's in them, and move, rename or link them, such as "put the Smith plans in the Plans folder and link them to the Smith project".
